Exhibition arrangements

fNIRS 2024 Exhibitor room dates and hours are:
Friday 13th – 12:30 pm to 6 pm.
Saturday 14th – 8 am to 6 pm.
Sunday 15th – 8 am to 6 pm.
You are welcome to be present during any/all of this timeframe. There will be a set up window of time on Friday 13th at 12pm. If you need additional time, please do let us know as soon as possible. Items can be moved into a locked room (G30) adjacent to the Great Hall overnight and we are covering for security. Your exhibit space allocation is the 6 ft table area, you will be limited in adjacent space to display other items so please keep this in mind when planning your exhibit as we are not a traditional trade show/convention and were only able to offer minimal space to exhibit.
The exhibit tables and posters are in the same room, encouraging foot traffic. You will be provided with access to plugs.
This is a sample of what we plan for the Great Hall to look like to accommodate for exhibitors, but it is subject to change.

***Reminder that the exhibitor passes grant access to the meeting hall only and include lunches, coffee breaks and social events, but do not include access to conference lectures.

Please make absolutely certain that you put the name of the conference on the label too. The contact person for the delivery will be the local chair, Dr. Felipe Orihuela-Espina.
Access to the Aston Webb building is via the stone steps in Chancellors Court, through the reception area. There is no loading area. There would be a nominal handling charge of £5 per item for delivery and another £5 per item for return.
The University of Birmingham’s Postal Services team does not have storage facilities so we would not be in a position to receive goods shipped in ahead of the event on Wednesday 11th. Please arrange your delivery to be on such date or later. Under exceptional circumstances, and prior discussion with the local chair, we may be able to transiently keep small devices on our lab about 200m from the Great Hall in the Computer Science building (Y9 on the campus map). You will be responsible to transport it from the Computer Science building to the Great Hall.
For returning your items, items could be brought to the post room as a central collection point but this would be on the day of collection as we have limited space so large volumes could not be accommodated. These items would need to have pre-paid returns labels for the relevant carrier. Shipments would need to have full shipper and receiver details including contact numbers. Any shipments not collected on the day would be returned to Computer Science.
